Sending requests between team members and within the company is key to reducing the overall overhead needed when running a project.
To open up the left side navigation screen click here:
To create a new Request: Admin ->Requests
Or click "Requests" on the dashboard.
Click on upper right side and click on "Add New."
However, before you create a new request, we recommend setting up the request type.
that can be found under Admin->"Request types."
Under "Request Type" you can setup request templates if the types of requests are similar within your firm. This is designed to drive consistency between requests and expected outcome by predefining what each request type looks like. By sticking to a standard, you also can grab analytic data around the types of requests generated.
You can also create groups so that they can be assigned requests to a group if there is some commonality. That can be found under Admin->"Request type group" This may save you time if there is a group within the company that often you would have work together.
Going back to the create the request under Admin->Request or on the dashboard.
Under "To" Select the user you want to assign a task to.
"Request Type" is required so before you start, you must have a few types of requests as options under Request type.
The request types can be setup under Admin->Request Type
Request title: Write in what the request is for, normally around a project, but they can also be stand alone as needed.
Include as much detail as possible to help the one who is responsible to help the person or team accomplish the task. We recommend that you develop your own standard level of information required to allow the user to accomplish the request. the more detail you provide the more likely they will be able to accomplish the task without additional clarification.
Job Number, here you can add the project and job number if the request ties back to a project.
Under the "Map Tab," you can put the address which will automatically populate the geo code. Under "Map" you can also put in the site location contact information and other details that may be required.
Make sure you save the work in the upper right-hand corner.
Once you save the task, it will show up on the User's dashboard as Green. You will also be able to see it on your dashboard as green. Once it becomes unhighlighted that indicates that the user who you assigned to the task has seen it.
At that point, the user can either accept, reject, or ask for more clarification.
Task status recommended exit criteria:
Pending - created but user has not done anything with it
Complete - complete
Accepted - User has seen it and have accepted
Rejected - user has rejected it and needs a conversation
Hold - If something comes up this allows the user to indicate that the task is on hold
